The Need

In the fall of 2018, Tandym Group was seeking a solution that would enable fast and efficient processing of information across the organization. Central to the continued growth of the organization was the need to streamline processes and improve the core systems and processes to support the business. Some of the areas requiring attention included:

  • Complex invoicing requirements
  • Time Entry
  • Data entry and accuracy – duplicate date entry
  • Automation – Eliminating the time spent on manual entry

The Solution

Adding 1Staff Back Office powered by Microsoft Dynamics GP in early 2019 gave Tandym Group the ability to consolidate multiple systems into one Back Office solution. The benefits of using one solution included: time saving, data integrity, ease of use, and common processes.

Now three years later, Professional Advantage spoke with Vanessa Ortiz, Accounting Operations Manager – Temporary Division at – Tandym Group to discuss just how the move to 1Staff Back Office has impacted her team.

Payroll

“Prior to 1Staff when payroll was being run it would take quite a long time. With the biggest payroll on Tuesday, in the old system, if you started at 1 o’clock you were staying after 5, you knew you weren’t going home that night, and would try to see what you could leave for the next day. Now payroll starts at 1 o’clock and done by 3 o’clock, including paystubs and everything,” said Ortiz.

Even with a growing business, with less manual process Tandym Group went from six people in payroll, now down to four.

“The more you don’t have to do manually, the less hands you need. We realized we didn’t need as many people to process payroll to get done by like 12 o’clock. The payroll team now with everything they’re done by 11 o’clock, and then they’re reviewing. At 5:00 o’clock everybody’s gone, which is great. It wasn’t like that before,” explained Ortiz.

VMS

With a large volume of VMS clients, and clients that want to have their own portals, the need to streamline time entry was at the top of list for Tandym Group. According to Ortiz, this was their greatest process improvement.

With one of the largest clients having between 50 – 60 candidates, Tandym Group needed to pull daily hours for each candidate and provide the customer with a daily breakdown on their weekly invoice. This was previously time consuming, inefficient, and relied heavily on manual entry.

“Previously, we would export a file, clean-up the file, calculate it per person, and then enter the total hours per person. Now we can just export it the way they (the client) like it. Import it into 1Staff Back Office the way the client likes it, and it’ll still show up on their invoice the way they like it.”

With the previous process taking 4- 5 people 45 minutes to an hour for each file, “now 1 person can do it pretty quick and the push of a button,” said Ortiz

Invoicing

When asked how moving to 1Staff Back Office has impacted users of the system, Ortiz said, “The biggest thing was time reduction. That was a major plus.”

Ortiz went on to explain, “Pre 1Staff, basically, at the end of the week, after everything was processed, we’d have to print all the invoices, have all the paper timesheets match them. And then scan them in. That was a two-day project for everyone. Now the fact that at the end of the week you just push a button, and everything’s attached, it’s so much better.”

Tandym Group has been a big proponent of system training and adopting new processes whether it be during the implementation, new feature training or training new team members.
